Training Course Terms & Conditions

These Terms and Conditions (“Terms”) govern the booking and attendance of training courses delivered by the UK Private Investigator Training Academy (UKPITA) (“we”, “us”, “our”) in the United Kingdom. By submitting a booking form or payment, the learner (“you”, “your”) agrees to be bound by these Terms.

1. Course Bookings and Payment

1.1 A place is reserved only upon receipt of a completed booking form and full payment (or official purchase order if agreed in advance).

1.2 Payment must be made in GBP (£) by the method stated on our invoice.

1.3 We reserve the right to refuse admission where payment has not been received in full before the course start date.

2. VAT and Fees

2.1 We are registered for VAT in the United Kingdom.

2.2 Fees shown on our website or booking materials are exclusive of VAT unless otherwise stated.

2.3 VAT treatment:

  • Courses leading to an Ofqual-regulated qualification (e.g. SFJ Awards Level 3 Award for Professional Investigators) are exempt from VAT under HMRC VAT Notice 701/30 §5 (Vocational Training).
  • All other courses, workshops, or CPD sessions that do not lead to a regulated qualification are subject to VAT at 20 %.

2.4 Our invoices will clearly indicate whether VAT has been applied or the course is VAT-exempt.

3. Course Content and Delivery

3.1 We reserve the right to adjust course content, trainer allocation, or venue to maintain quality and availability.

3.2 In the unlikely event of course cancellation or rescheduling by us, see Clause 7 below.

4. Learner Responsibilities

4.1 You must meet any published entry requirements and provide accurate personal information.

4.2 You agree to conduct yourself professionally and respectfully toward trainers, staff, and fellow learners.

4.3 We reserve the right to remove any participant whose behaviour is disruptive or unsafe; in such cases no refund will be issued.

5. Cancellation by Learner

5.1 All cancellations must be made in writing (email accepted).

5.2 Refunds will be issued as follows:

Notice period before course start
Refund entitlement
21 days or more
100 % refund minus £25 admin fee
8 – 20 days
50 % refund
7 days or less
No refund (payments non-transferable)

5.3 Learners may nominate a substitute to attend in their place at any time without charge, provided eligibility criteria are met.

6. Transfers and Deferrals

6.1 Requests to transfer to a later course must be made in writing at least 14 days prior to the original start date.

6.2 Transfers are subject to availability and an administration fee of £25.

7. Cancellation or Postponement by Us

7.1 We may cancel or reschedule a course if unavoidable circumstances arise (e.g. trainer illness, low enrolment, venue unavailability).

7.2 Where cancellation occurs, you may choose either:

(a) a full refund of fees paid; or

(b) a transfer to an alternative date or course.

7.3 Our liability is limited to the course fee paid; we do not accept liability for travel, accommodation, or other consequential costs.

8. Refund Processing

8.1 Refunds will be made to the original payer within 14 working days of approval.

8.2 Refunds will be made by the same payment method used for the booking.

9. Certification

9.1 Certificates (for accredited courses) will be issued only once all fees are paid and assessment requirements successfully completed.

9.2 Replacement certificates may incur an administration fee.

10. Intellectual Property and Recording

10.1 All course materials remain the property of UKPITA. They may not be copied, reproduced or distributed without our written permission.

10.2 Recording of live training sessions is not permitted without prior consent.

11. Force Majeure

We shall not be liable for any delay or failure to deliver a course due to events beyond our reasonable control (including but not limited to strikes, illness, pandemic restrictions, or severe weather).

12. Data Protection

We process personal data in accordance with the UK GDPR and Data Protection Act 2018. Our Privacy Policy is available on request and explains how we store and use your information.

13. Complaints and Dispute Resolution

13.1 Any complaint should be submitted in writing to the Centre Manager within 14 days of the issue arising.

13.2 We aim to resolve complaints informally in the first instance; failing that, we will apply our formal complaints procedure consistent with SFJ Awards centre requirements.

14. Governing Law and Jurisdiction

14.1 These Terms are governed by the laws of England and Wales. Any dispute shall be subject to the exclusive jurisdiction of the English courts.

15. Cooling-Off Period

15.1 Where you book online or by telephone as a consumer you have the right to cancel within 14 days of your booking under the Consumer Contract Regulations 2013, unless the course has already begun.
